Hyundai/Genesis Retailer Enrollment and Authorization Form
Hyundai Motor America (HMA) and Genesis Motor America ,LLC (GMA), with the cooperation and assistance of Genesis retailers, supports a comprehensive program that identifies and capitalizes on service, parts, and accessory sales and marketing opportunities. In an effort to support this process, HMA and GMA are requesting the active participation of each Genesis Retailer in the sharing of service and parts data through the Data Extraction Program (“Program”). Data to be accessed and acquired by HMA and GMA and Program features include:
Service repair order and service event data extracted on a daily basis and used for customer handling diagnostic support, service and parts advertising, retailer market share reports and other merchandising support functions. Such data also includes personally identifiable information related to the retailer service customer, such as the customer’s name, address and contact information.
Parts sales and inventory data extracted on a daily basis will be used to populate a retailer locator. Data is also used to monitor wholesale part sales activities and Dealer Management System (DMS) inventory system settings for the HMA and GMA Parts Retail Inventory Management System (also known as SmartStock Program) (“RIMS”). Participation in the Program (to extract part sales and inventory data) is mandatory in order to enroll in the HMA/GMA RIMS Program.
RIMS month-end data extraction for CDK Drive or Reynolds & Reynolds (“Reynolds”) ERA systems. This data capture procedure automates the monthly RIMS month-end reporting procedures. Allowing HMA and GMA to collect this data from your DMS is optional and replaces the manual process of faxing the data or submitting it through GenesisDealerUSA.com.
Data will be extracted from your DMS system by an authorized third-party on behalf of HMA and GMA:
HMA uses appropriate safeguards designed to protect nonpublic personal information against loss, theft, unauthorized access, destruction, use, modification, and disclosure.
Sample Data Required for Validation
You will need two transactions (one parts transaction and one service transaction) that Digital Motorworks will use to confirm the validity of the data:
Parts transaction: have the parts invoice number, the number of one part on the invoice, and the customer name.
Service transaction: have the RO number, the VIN, and the customer name.
Data Collection Methods
CDK dealers: CDK data Services will connect to the DMS via the CDK VPN.
Reynolds dealers are required to contact Reynolds and approve a data collection form which will permit Reynolds to provide your data to CDK.
CDK Data Services has processes and relationships with the major North American DMS systems and will coordinate with you and/or your provider to facilitate data collection. In some cases you may be required to approve an additional form from your provider and/or configure data files to be delivered to CDK.
Authorization
By submitting the form below, I represent that I am duly authorized to execute this Genesis Retailer Enrollment and Authorization Form and access to DMS data on behalf of the participating Genesis retailer. The Genesis retailer referenced below hereby agrees to the terms set forth above and authorizes HMA, GMA and/or its agent(s), contractor(s), and subcontractor(s) to access data and information from the DMS of the retailer named herein and to use such data and information solely in connection with the business of and services offered by HMA, GMA, and their affiliates. This Genesis Retailer Enrollment and Authorization Form and access to DMS data shall continue in force and effect until GMA receive a written notice of termination of this Authorization from the retailer. All data collected by HMA and GMA prior to GMA’s receipt of any such written notice of termination will be retained by HMA, /GMA and HMA/GMA will continue to use such previously collected data consistent with the terms of this Genesis Retailer Enrollment and Authorization Form.
